Define what requires a person
Not every result needs a human review. Choose the boundary for the actual task. For actions where approval is mandatory, implement an enforceable workflow rather than relying only on wording in a prompt.
- Information or requests outside the agent’s approved knowledge.
- Exceptions that need a business decision.
- Actions requiring the customer’s confirmation.
- Work reserved for an authorized professional or team member.
Pass the useful context
A good handoff includes the customer’s request, relevant inputs, the proposed or completed result, unresolved questions, and the next action. Limit it to information the recipient is authorized to receive.
A contractor handoff
A homeowner receives a preliminary quote and agrees on a scope. The agent offers a survey appointment through the configured calendar and sends the scope, assumptions, and remaining questions to the team. It does not call the estimate a final contract.
Make the handoff status clear
Use a connected calendar, email, CRM, or other suitable destination. Confirm successful delivery before describing the work as handed over. If the destination is unavailable, tell the customer what remains incomplete and offer the configured alternative.
Distinguish a request for approval from an approval already granted. Test rejected, canceled, and unanswered requests as well as the successful path.
